There are two main ways to email students and parents; through SEQTA or using email groups.
SEQTA is a good choice when you want to email a class such as Grade 8A Pastoral Care or 10 IGCSE Mathematics.
Email groups are available to deputies and other key roles such as the Athletics Director and School Counsellor. They can be used to email the students or parents of an entire grade level such as Grade 8, an entire school section such as Primary School or the whole school. Grade level groups are also available to Email groups are also the way we currently manage co-curricular groups such as football and basketball.
Most screens in SEQTA that have a list of students provide an "Email" dropdown that allows you to email students, guardians or both. In the screenshots below the teacher on the left is about to email all parents of kindergarten students from the roll marking page while the teacher on the right is about to email all students and guardians in 12 English A from the markbook page.
When you use this functionality, SEQTA automatically adds all the emails into the BCC field so you don't accidentally expose parent emails to other parents (for example).
With the necessary permissions (more info down the page on permissions and bouncebacks), you can email parents or students of individual grades or larger sub-groups. The addresses to use are based on the campus, year of graduation and whether you want to email students or parents. For example, for 2023/2024 school year, grade 10 students at Phnom Penh can be reached at pp.y2026@students.hope.edu.kh while their parents can be reached at pp.y2026@family.hope.edu.kh. Alternatively, you can email students at pp.y10@students.hope.edu.kh.

Sporting groups are usually updated when training starts for the season. If you are the coach of a sporting team you can send an email to parents, students or both. Open up Gmail and start typing the name of a sport, an age group or a gender to find matching groups. Searches are matched against both the Name of the group and it's email address (see below for naming conventions).
To search for all basketball groups in primary start typing "Primary Basketball"...
Or "Basketball Primay", or even just "bask prim"...
You can even email the parents of all the different girls teams. Mix and match search labels as required.
Naming Conventions:
The first part of the email address (before the @ symbol) will be in the format:
campus.sport.age.gender
e.g. pp.football.ms.girls or pp.volleyball.hs.boys
Age can be Primary (pri), Middle School (ms), High School (hs), Secondary (sec) or blank. Gender can be boys, girls or blank:
e.g. pp.crosscountry (all ages, boys and girls) or pp.football.pri (boys and girls combined)
The first part of the email address will be identical for both contact types. The domain portion determines if it's a parent group or a student group. Student groups end in @students.hope.edu.kh while parent groups end in @family.hope.edu.kh
e.g. pp.athletics.secondary@students.hope.edu.kh vs pp.athletics.secondary@family.hope.edu.kh
The display name name will be in the format Age Gender Sport Contact-Type Campus
e.g. Primary Girls Football Parents Phnom Penh
Additional email groups can be created for co-curricular groups and sporting teams on request. Send the details to ict@hope.edu.kh:
Details of sport or activity (campus, age, activity, gender)
Name of staff, volunteers or contractors who need to be able to email the group
List of students involved in the group, preferably including their email address and student code.
If you're receiving too many emails from sporting groups you coach, you may want to Manage Your Email Group Subscriptions.
If you don't have permission to email a group you will usually receive an email from "Mail Delivery Subsystem" that looks a bit like this:
